What workflow automation is

Workflow automation means a trigger in one tool starts a chain of steps in others without anyone doing them by hand. A form submission creates a CRM record, assigns it, sends a welcome email, books a task and posts to your team chat. When AI is added, workflows can also read emails, classify requests, extract data from documents and draft replies. We build these workflows on platforms such as n8n, Make and Zapier, or in custom code when a platform is not the right fit.

App-to-app sync

Keep CRM, accounting, spreadsheets, email and your ERP in step without copy and paste.

Approvals

Route requests to the right person, remind them, and keep an audit trail.

Automated reporting

Daily and weekly reports compiled from your tools and sent to email or chat.

Onboarding

New customer, employee or vendor onboarding that runs by itself.

Email and form handling

Sort, tag, extract data and draft replies for human approval.

Custom connectors

APIs and webhooks where no ready-made integration exists.

Business process automation examples

  • Lead to CRM: a new enquiry from a form, ad or WhatsApp chat is de-duplicated, scored, added to the CRM, assigned to a rep and answered within minutes.
  • Order to invoice: a confirmed order creates an invoice, updates stock and sends the customer a receipt and tracking link.
  • Support triage: incoming emails are classified by topic and urgency, routed to the right queue and acknowledged.
  • Employee onboarding: a signed offer triggers account creation, equipment requests, training invitations and a first-week checklist.
  • Weekly reporting: sales, support and finance numbers pulled from separate tools into one summary on Monday morning.

How we deliver

Step 1. Map the process

We write down how the work really happens today, including exceptions.

Step 2. Design the workflow

Triggers, steps, error handling and the points where a person must approve.

Step 3. Build and test

On real data in a safe test setup, with logging and alerts.

Step 4. Handover and support

Documentation, training and monitoring so you can own it.

Reliable automation needs error handling: retries, alerts when something fails, and a safe way to replay failed runs. We build these in from the start, and document each workflow.

Workflow automation examples

More workflow automation examples we build often: new-customer onboarding that creates accounts and tasks, purchase request approvals with reminders, support email triage, contract renewal alerts, stock alerts to suppliers and monthly management reports. See eight step-by-step cases in n8n examples.

Workflow automation software: no-code and low-code options

Workflow automation software ranges from no-code tools that anyone can use to low-code platforms where a developer adds custom steps. No code automation is the quickest way to connect common apps, while low code automation adds flexibility for custom logic and unusual systems. We pick based on your team and volume. Frequently asked questions

What is the best workflow automation tool for a small business?

It depends on volume, budget and skills. Zapier is the quickest to start, Make suits more complex logic, and n8n suits teams that want self-hosting and lower cost at volume. We recommend based on your case.

Can you automate software that has no API?

Often yes, through email, files, databases or browser-based automation. We will tell you the limits and fragility up front.

Do workflows use AI?

Only where it helps: reading emails and documents, classifying requests, drafting replies. Many workflows need no AI at all, and we do not add it for show.

Who maintains the workflows?

We offer monitoring and support plans, and document everything so your team can maintain it if you prefer.

How long does a workflow take to build?

A single well-defined workflow can take days to a couple of weeks. Multi-system projects are phased.

Is n8n free?

n8n can be self-hosted, which avoids per-execution platform fees, but you pay for hosting and upkeep. It also has paid cloud plans. Check n8n's current licence and pricing.
