OCR vs intelligent document processing

OCR (optical character recognition) turns an image or scanned page into text. That alone is not enough, because you still have to find the invoice number or the contract end date in the text. Intelligent document processing (IDP) adds AI that understands the document: it identifies the type, finds the fields you care about, checks them against rules and passes clean data to your software. Document automation then connects this to the next step, such as creating a bill, updating a record or starting an approval.

Data entry automation: the pipeline

Step 1. Capture

Documents arrive by email, upload, WhatsApp or a shared folder.

Step 2. Classify

The system identifies the document type.

Step 3. Extract

OCR and AI read the fields and give each a confidence score.

Step 4. Validate

Totals, dates, duplicates and required fields are checked. Low-confidence items go to a review screen.

Step 5. Post

Clean data is written to your accounting, CRM or ERP system and the original is archived.

Accuracy and control

No extraction is perfect, especially on poor scans and unusual layouts. We keep a person in the loop for uncertain fields, require totals to reconcile, link every record to its source document and test on your real documents before go-live. We report the accuracy we see so you can decide how much review you need.

Where it fits

  • Accounts payable and expense processing (see invoice automation).
  • Customer onboarding and compliance documents.
  • Insurance, healthcare and education forms.
  • Logistics paperwork such as delivery notes and shipping documents.

Frequently asked questions

What is document automation?

Using software to create, read, route or process documents with little manual work, for example extracting data from invoices and posting it to accounting software.

What is intelligent document processing?

IDP combines OCR with AI to understand documents and extract structured data, validate it and send it to other systems.

Can it read handwriting?

It can read some handwriting, with lower accuracy than printed text. We test on your samples and flag uncertain fields for review.

Which systems can it connect to?

Accounting tools such as Tally, Zoho Books, QuickBooks and Xero, CRMs, ERPs, databases and spreadsheets, through APIs or import files.

Is my data safe?

We use least-privilege access and encrypted connections, can process data in your own environment, and do not use your data to train public models.

How much does it cost?

It depends on document volume, variety, systems and review needs. We scope after a free audit.
