When Power Automate is a good fit

Power Automate works well when your data already lives in Microsoft 365: SharePoint lists, Teams, Outlook, Excel, Forms and OneDrive. For approvals, document routing and notifications inside that environment, it is often the quickest path, and your IT team can govern it with tools they already know.

It is a weaker fit when you need to connect many non-Microsoft systems, process very high volumes cheaply, or run custom AI steps with fine control. In those cases tools such as n8n or Make, or custom code, can be better, and we will say so. See our guide to automation tools.

What a Power Automate consultant helps with

Approvals

Leave, purchase and document approvals with reminders, escalation and an audit trail.

Document flows

Save attachments, rename and file documents, extract data and update lists.

Email and Teams

Notifications, shared mailbox triage and structured messages to the right channel.

Excel and SharePoint

Keep lists and workbooks in sync and remove copy-and-paste work.

Governance

Naming, environments, connectors, ownership and what happens when an employee leaves.

Fixing broken flows

Failed runs, throttling, expired connections and flows nobody understands.

How we work

Step 1. Inventory

We list the flows and manual tasks you have today, and who owns each.

Step 2. Design

We design flows with error handling, clear naming and the least privileges needed.

Step 3. Build and test

Flows are built in a test environment and tried with real cases before go-live.

Step 4. Hand over

You receive documentation and a short walkthrough for your team.

Adding AI to Microsoft workflows

Many requests now include AI: summarising emails, classifying requests, extracting invoice fields or answering questions from internal documents. We can add these steps inside or alongside your flows, with a person reviewing anything uncertain. Licensing, data location and connector limits differ by plan, so we check what your Microsoft agreement allows before designing.

Licensing and premium connector rules change. We confirm the current requirements with you and your Microsoft partner rather than assuming.

Checklist before building a flow

  • Who owns the flow, and who takes over if they leave?
  • Which account runs it, and does that account have only the permissions it needs?
  • What happens when a step fails: who is alerted and how is the item retried?
  • Does the flow touch personal or financial data that needs extra controls?
  • Is a simpler built-in feature, such as a SharePoint rule, enough?

Frequently asked questions

What does a Power Automate consultant do?

They design, build, test and govern flows, advise on licensing and connectors, and fix flows that fail or are hard to maintain.

Is Power Automate better than Zapier or Make?

It depends on your stack. Inside Microsoft 365 it is often the simplest. For many mixed systems or high volumes, other tools can be cheaper or more flexible.

Can Power Automate use AI?

Yes, through built-in AI actions and by calling external AI services. Plan limits and data rules apply, so we check these first.

Can you take over flows built by someone else?

Yes. We review them, document them, fix errors and add monitoring.

How much does it cost?

It depends on the number and complexity of flows. We give a custom quote after a short review.
