n8n is a workflow automation platform where each step is a node on a canvas. These examples show common business uses. Exact nodes depend on the apps you use, and every flow should include error handling and logging.

1. Lead capture to CRM and instant reply

Trigger: web form or ad lead. Steps: validate fields, check for an existing contact, create or update the CRM record, assign an owner, send a confirmation by email or WhatsApp, notify the sales channel. Watch out for: duplicate contacts and consent for messaging.

2. Invoice email to accounting

Trigger: email with PDF arrives. Steps: save the file, extract data with OCR or an AI document model, validate totals and vendor, create the bill in the accounting tool, flag uncertain items for review. Watch out for: duplicates and tax fields.

3. Support email triage

Trigger: new email in a support mailbox. Steps: AI classifies topic and urgency, creates a ticket, tags it, drafts a reply for an agent to approve, sends an acknowledgement. Watch out for: never auto-send replies on sensitive topics without review.

4. Appointment reminders

Trigger: scheduled run each morning. Steps: read tomorrow's bookings from the calendar, send reminders by WhatsApp or SMS with confirm and reschedule links, update status when the customer replies. Watch out for: message template approval and opt-in.

5. Weekly report

Trigger: every Monday. Steps: pull sales, support and web numbers from separate tools, combine, have AI write a short summary, post to email or chat. Watch out for: check the numbers against the source before trusting the summary.

6. Customer onboarding

Trigger: deal marked won. Steps: create accounts, send welcome message, create onboarding tasks, schedule a kickoff, notify the team.

7. Review request after service

Trigger: job marked complete. Steps: wait a set time, send a short feedback request, route happy customers to a review link and unhappy ones to a private form with an alert to the owner. Watch out for: review platform rules about incentives and filtering.

8. AI agent with tools

Trigger: chat message. Steps: an AI agent node with tools such as a knowledge search, calendar lookup and CRM lookup, memory of the conversation, and a handover node to a person. Watch out for: limit what tools can do, log every action and test on real conversations. See how to build AI agents.

Good practice for every workflow

  • Name nodes clearly and document each workflow.
  • Add an error workflow that alerts you when something fails.
  • Test with sample data before using live data.
  • Keep secrets in credentials, not in nodes.
  • Back up workflows and version changes.
