Zapier Alternatives: Make, n8n and Custom Automation

Zapier is the easiest place to start, but costs and limits can grow with volume. Here are the main alternatives and when each makes sense.

Zapier connects apps through "Zaps": a trigger followed by actions. Teams look for alternatives for three common reasons: cost as the number of tasks grows, the need for more complex logic, or a wish to keep data on their own servers. This guide covers the options we use most in client projects.

How we wrote this: we build automations on several of these platforms, so we have a view, but features and pricing change often. Check each vendor's current pricing and documentation before you choose. We are not sponsored by any of them.

Why people look for a Zapier alternative

  • Cost at volume: Zapier bills by tasks, so high-volume workflows with many steps can get expensive.
  • Complex logic: branching, looping over lists and heavy data transformation are possible but can feel awkward in a linear editor.
  • Data control: some businesses want automation running on their own servers.
  • AI agents: some platforms offer deeper support for building AI agent workflows.

The main alternatives

MakeVisual, multi-branch workflows and data handlingUsage-based (operations or credits)Steeper learning curve than Zapier; usage can be hard to predict
n8nSelf-hosting, high volume, AI agents, custom code nodesFree self-hosted community edition under its licence, or paid cloud plansNeeds hosting and upkeep if self-hosted; smaller out-of-the-box app list
Custom code (Python, Node.js, PHP)Unusual systems, very high volume, strict performanceDevelopment and hosting costHigher build and maintenance cost

How to choose

Step 1. Count your volume

Estimate runs per month and steps per run. This decides which pricing model costs less.

Step 2. List your must-have apps

Check each platform supports them, or that an API call is easy.

Step 3. Decide on data rules

If data must stay on your servers, self-hosted n8n or custom code is the likely fit.

Step 4. Consider who will maintain it

A simple Zapier flow a colleague can edit may beat a more powerful tool nobody understands.

When to stay on Zapier

If your automations are simple, low volume and run by non-technical staff, Zapier's ease of use and very large app library are real advantages, and the cost may be fine. Switching has a cost too: rebuilding and testing every workflow. Switch when the savings or capabilities clearly justify it.

Migration checklist if you leave Zapier

  1. Export a list of your Zaps with triggers, actions and run counts.
  2. Rank them by business impact and failure risk.
  3. Rebuild the simplest first on the new platform and compare outputs.
  4. Run old and new in parallel for a period on important flows.
  5. Switch off the old Zaps only after clean runs and update documentation.

Questions to ask before switching

  • What exactly is driving the move: cost, logic, data control or AI?
  • Will the savings exceed the rebuild and maintenance cost?
  • Do our key apps have equivalent modules or API access?
  • Who will own the new platform?

Frequently asked questions

What is the best Zapier alternative?

There is no single best. Make suits visual, branching logic; n8n suits self-hosting and high volume; custom code suits unusual or high-scale needs.

Is there a free Zapier alternative?

n8n can be self-hosted at no licence cost under its community terms, but hosting and maintenance are your cost. Several platforms have free tiers with limits. Check current terms.

Can I migrate from Zapier to Make or n8n?

Yes, but workflows must be rebuilt and tested, because there is no one-click migration for most flows. We can plan and run the migration.

Which is cheaper at high volume?

It depends on steps per run and how each platform counts usage. Self-hosted n8n often wins at high volume, but you carry hosting and upkeep.
